Problem

Approximately, 1 in 4 (27%) business briefs produced by teams across the IT space in Emirates, were inconsistent in detail and intent. This often led to creation of work items that were not direct and unnecessary. While AI solutions did exist, a interactive interface was required that allowed live feedback as the business brief was formed, with intuitive generation of work items.

In this project, we reviewed the existing interface and realized we had to create something that provided on-going feedback when creating business briefs. Moreover, the interface had to be updated to modern standards, providing an efficient, encompassing solution that provided end-to-end support in creating this interface.

Common Pain points

No ongoing evaluation

Users noted that there was no way for them to see how effective their business brief really was and whether there was any actionable insight.

Users had to create and edit manually

Up to 70% of users found the process tedious, having to fill out endless fields of entry points and having to deal with countless versions of briefs in different places.

Work Items needed to be repopulated into existing work flows

Work items had to be manually created in Jira, which proved to be tedious for users.

Solution

AURA provides users with the ability to upload existing business briefs and other notes to then create a business brief that allows users to fix based on specific suggestions and interaction with the AI model that is trained on existing company documentation.

AI allows simple ideas turn to actionable items

RAG system to indicate where users need to focus on improving

Users can use AI suggestions or chat with AI to improve the brief

Generation of multiple break down of work items and direct export to Jira

Our principle

All encompassing

From the beginning, we wanted to create a solution that allowed users to create, edit and manage business briefs in one platform. The most complex aspect of creating this solution is defining how business briefs could be edited using GenAi. One of the expectations was to create a more conversational interaction with the business brief when it came to improving the brief.

Add specific suggestions with one click.

The AI recognizes sections and evaluates each section based on existing documentation, providing users with suggestions. These suggestions can be clicked and added to each section, which automatically rewrites specific sections in business briefs.

Converse with AI to evaluate effectiveness

This is where the conversational element of our platforms shines through. in creating the interface, the AI asks questions that users can answer to allow the AI to improve specific sections. As you scroll with the document, the AI asks specific questions pertaining to each section, allowing live update.

Generate tasks with ease

Ultimately, we wanted to create work items or tasks that were actionable and specific that would help users breakdown larger initiatives into smaller epics. Once the AI deems the business brief to be acceptable, we wanted users to be able to generate work items, from initiatives to actionable epics, that can be saved to Jira;

Impact

This interface is currently in development. The most important thing for users was simplicity, with fewer interactions than necessary. Based on user feedback, approximately 85% of users preferred this interface, noting that the look and feel was fresh and aided in the simplicity of use. Interface is undergoing sandboxing and eventually user testing, and was well received at Emirates’ tech town hall.
